Manually reorder and custom sort pivot tables in Google Sheets

Google Sheets now supports custom sorting and manual reordering in pivot tables. Users can now drag and drop rows and columns on a pivot table to match specific presentation needs and custom business hierarchies, rather than being restricted to standard ascending or descending alphanumeric order. This launch includes the following capabilities:

On-grid drag-and-drop: Directly grab and move individual row or column headers with clear drop-zone indicators
Multi-item reordering: Select and reposition multiple rows or columns simultaneously
Hierarchical preservation: Automatically move nested child items alongside parent fields, maintaining structure across expand and collapse actions
Persistent sort states: Preserve custom arrangements across browser sessions, data refreshes, filtering, and layout adjustments

This update also delivers significant improvements for Microsoft Excel file interoperability. Previously, when importing Microsoft Excel workbooks containing pivot tables with manual or custom sort orders, Google Sheets defaulted back to ascending or descending order. Now, imported spreadsheets retain their pivot tables with the exact custom sort order preserved. Furthermore, exporting workbooks back to Microsoft Excel retains these sorted orders for seamless roundtrip compatibility.

Admins: There is no admin control for this feature.

User dragging and dropping row labels to manually reorder a pivot table in Google Sheets

Google Sheets supports native manual reordering and custom sorting within pivot tables, removing the rigid restriction of strictly using standard alphanumeric ascending or descending orders. This feature allows users to present data according to business hierarchies or specific reporting templates directly on the grid. [1, 2]

How to Manually Reorder Pivot Tables

You can manipulate rows and columns directly within your pivot table layout: [1, 3]

Open your Google Sheet and navigate to your pivot table.
Click on the row or column label header that you want to move.
Drag the header to its new position. A clear drop-zone indicator will appear to show you where the item will land.
Release the mouse button to drop the item into place.
In the Pivot Table Editor side panel, the sorting order for that breakout will automatically display as “Custom”. [1, 2, 4]

Advanced Layout Capabilities

Multi-Item Reordering: You can select a block of multiple rows or columns simultaneously and drag them as a single group to reposition large chunks of data instantly. [1, 2, 5]
Hierarchical Preservation: For complex pivot tables with nested data, dragging a “parent” item automatically moves all of its nested “child” items alongside it. The data structure remains intact whether the categories are expanded or collapsed. [1, 5, 6]
Persistent States: Your manual arrangements are fully persistent. They will not break or reset when you refresh data, apply filters, adjust layouts, or close your browser session. [1, 5]
Excel Interoperability: Custom sort sequences are preserved during roundtrips. Importing an Excel workbook with manually ordered pivot tables retains the custom format in Google Sheets, and exporting back to Excel keeps the custom rules intact. [1, 5]

Restrictions to Keep in Mind

Same-Level Boundaries: You can only move columns or rows within their own hierarchical breakout level. For example, you cannot drag a categorical breakout header into a child level or a value header area. [4]
Spacing Requirements: When moving multi-cell blocks, there must be enough physical grid space available at the destination for the whole block to land, or the cells will snap back to their original position. [4]
