Seamlessly import your team and data from Microsoft to Google Workspace during setup

Google excited to announce the GA release of a new, simplified way for small businesses to import their users and their business data from Microsoft while setting up Google Workspace with our data import tool.

This new feature allows these businesses and educational institutions to copy their existing Microsoft users, along with their emails, OneDrive files, calendar events, contacts and tasks, into Google Workspace. You can start the import in 2 simple steps:

Connect to your Microsoft business account using global admin credentials
(Optional) Exclude any users or types of data that you don’t want to import

Once you connect to Microsoft, our data import tool identifies users in your Microsoft account and prepares to add them and their data to your new Google Workspace account. This feature significantly reduces the time and effort required to switch from Microsoft, helping you get your organization up and running quickly.

Additional details

You can now import up to 10 Microsoft users and their data automatically through this new feature. Visit the Help Center to learn how to import more than 10 users from Microsoft.
You can import users and data only after completing your domain verification and MX activation. The data import process runs in the background while you can continue with your Workspace setup.
This process is only applicable if you’re on a Flexible Plan. If you’re on an Annual/Fixed-Term Plan, you must add more licenses before importing users. Visit the Help Center to learn how to add licenses or change purchase cap.

Getting started

Admins: This feature will be available in the setup process for Google Workspace. Once you’ve verified your domain and activated your email records, you will find an option to import your users from Microsoft to Google Workspace before completing the setup. Visit the Help Center to learn more about importing business data during setup.
End users: This feature is for admins only.

Google Workspace features a streamlined data import tool built directly into the initial setup wizard, allowing administrators to copy user profiles, emails, OneDrive files, calendar events, contacts, and tasks directly from Microsoft 365. This native, cloud-native feature eliminates the need for complex command-line scripts or third-party migration tools. Small businesses can automatically identify and transfer up to 10 users and their data simultaneously in a single click, while the entire process runs securely in the background. [1, 2, 3, 4]

Core Requirements Before You Begin

Before initiating the import tool, administrators must complete two mandatory prerequisites in the Google Admin Console:

Domain Verification: Confirm ownership of your domain.
MX Record Activation: Activate your MX records so the new Workspace environment is ready to handle active mail routing. [1, 2]

Note: This initial wizard import requires your organization to be on a Flexible Plan. If you are on an Annual/Fixed-Term Plan, you must manually add the necessary user licenses in the console before you can import users. [1, 2]

Step-by-Step Data Import Process

1. Connect	Authorize Microsoft Access	Navigate to the Data Import section of the setup wizard. Click connect and sign in using your Microsoft Global Admin credentials.
2. Select	Choose Users & Data	The tool automatically maps the user profiles found in Microsoft. Select up to 10 users and check the boxes for the specific data types you want to pull over (Emails, OneDrive, Calendars, etc.).
3. Sync	Background Execution	Launch the import. The data will transfer in the background, freeing you up to adjust security policies or manage your organizational units without downtime.

Scaling for Larger Teams or Teams Chat Data

More than 10 Users: The built-in setup wizard is optimized for small batches. For larger organizations or complex infrastructure transitions, administrators should utilize Google Workspace Migrate, Google’s enterprise-scale migration platform. [2]
Microsoft Teams & Channel Data: For moving communications, the Admin Console provides a distinct Data Import for Teams utility. This feature allows you to upload a CSV mapping file to copy entire 1:1 direct messages, group chats, and channel conversations straight into Google Chat spaces. [5, 6]
