Automatically add sources to your Gemini Notebooks in Workspace Studio
Historically, keeping Gemini Notebooks up to date would require you to manually add sources one by one. Now, this new integration lets you automate adding sources to your Gemini Notebooks as part of a recurring workflow. You can use the new Add a source to Gemini Notebook step to add text, links to Drive files, or generic Youtube or web URLs as sources to your notebooks to ensure your notebooks are always up to date on the latest content.

Getting started
- Admins: This step is available by default if you allow Gemini for Google Workspace steps. Visit the Help Center to learn more about managing access to steps and starters in Workspace Studio.
- End users: Try the feature in Google Workspace Studio. Visit the Help Center to learn more about the Add Source to Gemini Notebooks step.

Supported Source Types
- Google Drive files: Live documents, sheets, or presentations.
- Web URLs: Dynamic content scraped directly from public websites.
- YouTube links: Video transcripts and reference links.
- Raw text: Extracted plain text string outputs from previous workflow steps. [1, 2, 3, 4]
How to Configure the Automation
- Set up a Starter: Select a trigger (e.g., “When a new report uploads to a specific Google Drive folder“).
- Add the Action Step: Search for and insert the “Add a source to Gemini Notebook” action step.
- Choose Your Notebook: Select your target notebook from the dropdown menu.
- Map the Content: Map the output variable from your trigger (like the Drive file link or extracted text) into the source configuration field. [1, 4]
Crucial Constraints & Requirements
- Privacy Restriction: The dropdown menu will only display notebooks that are strictly private to you. Shared notebooks cannot accept automated sources via this feature yet. [4]
- Admin Privileges: This action step is available by default, but Google Workspace administrators must ensure that Gemini for Google Workspace steps are permitted within the admin console. [1]
- Cross-App Sync: Any source added automatically via Workspace Studio will instantly sync to NotebookLM, allowing you to leverage deeper features like Audio/Video Overviews and auto-categorization. [5, 6]
